Expected Procurement Deliverables

(a)   Meeting Rooms: a total of eight each with a seating capacity of twenty five people with the following requirements sought:

• Rooms to be set up and available from 8:00am to 6:30pm each day (Monday to Friday) and exclusive access to the ARC only at other times
• Seating in Boardroom style
• On call Conference Coordination Support
• One Flip Chart, One White Board and One Projector Screen
• Tea and Coffee on arrival and replenished throughout each day
• Iced Water, Glasses and sweets replenished throughout each day
• Pads and Pens

(b)   Staff Administration Room for use by ARC staff to meet on administrative matters: one room with a seating capacity for fifteen people with the following requirements sought:

• Room to be set up in Boardroom style and available from 8:00am to 7:00pm (Monday to Friday) and exclusive access to the ARC only, at other times
• On call Conference Coordination Support
• Iced Water, Glasses and Sweets replenished throughout each day

(c)   Audio Visual Service and Equipment:

• High speed internet broadband service (adsl2+ or equivalent) connection and Internet Wireless connection in all eight meeting rooms
• High speed internet broadband service (adsl2+ or equivalent) connection and Internet Wireless connection in the ARC administration/computer room for six (6) personal computers
• One telephone (for internal use) in each meeting room, and the ARC administration room
• A minimum of one data show (PC projector) in each meeting room and provision for two (2) backup projectors
• One Screen in each meeting room
• One Whiteboard in each meeting room
• A Sound System in one (1) smeeting room
• Power Points, Power Boards and Extension cords available in each meeting room and administration room
• Three photocopier/printer/facsimile machines (including one high speed colour printer) with collating and stapling capacity located in the Administration/Computer room
• One direct telephone line with STD dial out available in administration room
• Two (2) AV Technicians on call

(d)  Day Catering to Include:

• Morning tea and coffee for 165 people
• Working buffet lunch in a single central location suitable for 165 people with limited seating available
• Afternoon tea and coffee for 165 people

(e)  Accommodation:

• Accommodation on site for 165 delegates from Sunday 5 December 2010 to Saturday 11 December 2010 (6 days) and four (4) ARC technicians from Thursday 2 December 2010 to Sunday 12 December 2010 (10 days)
• All accommodation rooms will need to have access to internet (Ethernet or wireless)

(f)   Adequate free parking spaces
